Registration And Payment Process Flow
- To fill out the registration form, please visit the website (Click Here).
- After completing the form, click the ‘Pay Now’ button to connect with the Payment Gateway and finalize your payment.
- Once your payment has been successfully credited to our bank account, your registration will be considered complete.
Terms and Conditions for Delegate Registration
- Seats are limited, and delegate confirmations will be handled on a first-come, first-served basis.
- The Conference Program may be subject to changes at the discretion of the organizers.
- Please be aware that no credit facilities will be provided under any circumstances, and no refunds or adjustments will be made for “No Show” or “Absence” of a delegate.
- A “Delegate Confirmation Letter” will only be issued once the appropriate fees, including applicable taxes, have been received and cleared, along with the required information provided on the registration form.
- Delegate badges and logins are “non-transferable.” The organizers reserve the right to prevent any delegate from transferring their badge or login to another individual.
- Registration will be done online. All delegates, exhibitors, or other participants are requested to ensure they have a digital device with a reliable internet connection (minimum speed of 5MBPS) for a smooth event experience.
- By registering for the event, you agree not to sell, trade, transfer, or share your paid, complimentary, or any type of access link, code, or login details.
- Participants are prohibited from recording or broadcasting images, audio, or video of the event without prior written consent from the organizers.
- You acknowledge and agree that we reserve the right to deny or remove you from the event if, in our sole discretion, your participation or behavior disrupts the event or violates any policies, or affects the enjoyment of other attendees.
- If your participation is denied, canceled, or removed from the event, all payments made will be retained, and no refunds will be provided.
- Any unlawful activity will be reported to law enforcement authorities, and participants involved will be banned from this and future events.
Cancellation And Refund Policy For Delegate Registration
- Cancellation Requests on or Before 30th February 2025: 75% of the paid amount will be refunded.
- Cancellation Requests on or Before 15th March 2025: 50% of the paid amount will be refunded.
- Cancellation Requests on or After 16th March 2025: No refunds will be issued.
- Requests for registration transfer or substitution will only be considered if received by the event secretariat via email on or before 25th March 2025.
- Transfer/substitution requests received after 25th March 2025 will not be processed.
No Refunds for Non-Attendance: No refunds will be provided for any participation if the attendee is unable to attend the event due to any reasons.
Exhibtion Terms And Conditions & Exhibtion Cancellation And Refund Policy
Booking and Payment:
- Exhibition space/stalls are allocated on a first-come-first-serve basis.
- To confirm booking, Exhibitors must submit the completed application form with 50% advance payment via Bank Transfer (NEFT or RTGS).
- The balance payment must be made in full by 19th November 2025. Failure to do so may result in cancellation, with the advance payment forfeited.
- Payments should be made in favor of “MM Activ Sci-Tech Communications Pvt. Ltd.”
Space Allocation and Changes:
- BCGE’25 reserves the right to change the floor plan and location of exhibitor stalls.
- Space/stall allocations will be as per the original booking or an equivalent alternative.
- BCGE’25 is not liable for any loss or damage to exhibitor’s materials or equipment.
Occupancy and Use:
- Exhibitors must occupy their space before the event begins; failure to do so may result in the forfeiture of the stall.
- Exhibitors are responsible for maintaining the flooring, walls, and structures of their stalls during setup, operation, and breakdown.
- Only authorized personnel are allowed to operate within the stall.
Hazardous Materials:
- No hazardous or inflammable materials are allowed in the exhibition space. Exhibitors must take appropriate safety measures to avoid accidents.
Advertising and Promotions:
- All demonstrations, interviews, and promotional activities must be conducted within the allocated space/stall.
- Aisle space must be kept clear for visitor movement at all times.
- Audio/visual displays may be conducted at low volume within the stall.
Cancellations and Refunds:
- In the event of cancellation of space/stall booking, advance payments will be forfeited.
- Reductions in the booked space/stall area will be treated as cancellations, and advance payments will not be refunded.
Stall Design Approval:
- Exhibitors must get prior approval for their stall designs before commencing construction.
Security and Liability:
- While security arrangements will be made, BCGE’25 is not responsible for any loss or damage to exhibitor’s materials.
- Exhibitors are responsible for any damages caused to the venue or infrastructure due to their negligence.
Booth Cancellation:
- Failure to comply with the terms may lead to contract termination, with forfeiture of payments.
Force Majeure:
- BCGE’25 is not liable for delays or failure to perform due to force majeure events such as natural disasters, strikes, riots, or government actions.
- Jurisdiction:
- All disputes arising from this contract will be subject to the exclusive jurisdiction of competent courts in Karnataka, India.
Change in Policies /Dispute Resolution
In the event of any dispute, the decision of the Bharat Global Cultural Expo 2025 (BCGE’25) Secretariat shall be deemed final.
